Privacy policy

Circlemark is operated by Revar, 1055 W Georgia Street, Vancouver, BC V6E 4N7, Canada (“Circlemark”, “we”). This policy explains what personal information we collect, how we use it, and the choices you have. Questions or requests: founders@circlemark.ai.
Information we collect from you
- Account information — name, email address, company, occupation, and a mobile number used once to verify your sign-up (checked and messaged through Twilio).
- Billing — subscriptions are processed by Stripe. We store your Stripe customer reference and subscription status; your card number never touches our servers.
- Usage — searches, saved searches, watchlists, contact reveals, and outreach activity on your seat, used to operate the product, enforce plan limits, and prevent abuse.
Information about commercial property owners
Circlemark's database describes commercial real estate loans and the parties behind them. It is compiled from public records — county recorder and assessor filings, city property registrations, permit filings, and securities disclosures — and supplemented with business contact information from licensed data providers. Every name we show cites the public record it came from. This information relates to people in their business capacity as owners, officers, or agents of commercial properties, and we provide it to our customers for professional real estate outreach only. If you believe we hold information about you and want it corrected or suppressed, email founders@circlemark.ai and we will act on it.
Google user data (Gmail)
If you connect your Gmail account to send outreach, we request a single Google permission: gmail.send. We use it for exactly one thing — sending, on your behalf, email messages that you composed or individually approved in Circlemark. We never read, receive, store, or process the contents of your mailbox; the permission we request does not allow it. We store the OAuth tokens Google issues in our production database with restricted access, use them solely for the sends you approved, and delete them when you disconnect the account (which you can do at any time on your Account page or at myaccount.google.com/permissions). A copy of every message sent through Circlemark is kept on your seat as your sending record.
Circlemark's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Emails sent through Circlemark
Outreach emails are sent from our customer's own mailbox, under their name; the customer is the sender. Every message carries the sender's mailing address and an unsubscribe link. When a recipient unsubscribes, we record their email address on that sender's suppression list so they are not contacted through Circlemark again.
Service providers
We share information with providers only as needed to run the product: Stripe (payments), Twilio (phone verification), Google (Gmail sending you authorize), our hosting and infrastructure providers, licensed business-data vendors (to look up the professional contact details described above), and AI service providers that process recorded documents and drafting instructions for us. None of them may use your information for their own purposes. We do not sell personal information about our users, and we do not use it for advertising.
Retention and security
Account data is kept while your account is active and deleted on request. Records of purchases, sends, and credits are retained as required for accounting and audit. Access to production systems is restricted and all traffic is encrypted in transit.
Your rights
You can access, correct, export, or delete your personal information by emailing founders@circlemark.ai. We honor the rights granted by the law that applies to you — including PIPEDA in Canada and applicable US state privacy laws — and respond to every request regardless of where you live. Circlemark is a business tool and is not directed at anyone under 18.
Changes
We will post any material change to this policy here and update the effective date. See also our terms of service.
